1. The floor

How to fill it in: measure wall to wall and leave out anything you won't coat. List stem walls, cove base and stair edges separately in linear feet, because they take longer per foot than open floor.

2. The coating system

How to fill it in: name the products and the thickness or spread rate for each coat, from the technical data sheet. A written system is what you are accountable for, and it lets the customer compare your quote with a cheaper one on equal terms. The coverage calculator gives the gallons.
  • System: [Full-broadcast flake / solid color / metallic / quartz]
  • Primer: [product] at [mils or sq ft per gallon]
  • Base coat: [product] at [mils or sq ft per gallon]
  • Broadcast: [flake blend, size, full or partial broadcast]
  • Topcoat: [product], [number of coats] at [mils or sq ft per gallon]
  • Finish: [gloss / satin], [texture or anti-slip additive]

3. Preparation and repairs

How to fill it in: price the prep for the slab in front of you. Write the moisture test result here if you have it; if not, say when you will test and what happens if the slab is over the coating maker's limit. Extra repairs found after grinding get a unit price now, so nobody argues about it later.
  • Surface preparation: [diamond grinding / shot blasting] to [CSP 2–3, or the profile the coating's data sheet requires], with dust collected by a HEPA dust extractor.
  • Moisture test: [calcium chloride (ASTM F1869) / in-slab RH (ASTM F2170)], result [ ] on [date], or to be done before installation.
  • Repairs included: [crack repair up to __ linear ft; spall patching up to __ sq ft; joint filling]
  • Repairs beyond those, if found: [$__ per linear ft / per sq ft], only with your written approval.

4. Price

How to fill it in: work the price out from your costs with the job pricing calculator, and check it against your minimum job price. Only charge sales tax if your state taxes this work.

5. Schedule and cure

How to fill it in: take the cure times from the data sheet for the temperature you expect, and give the customer dates and times, not just hours.
  • Estimated start: [date or week]; days on site: [ ]
  • Light foot traffic from: [date and time]; vehicles from: [date and time]; full cure: [date]
  • Before we arrive, please: [clear the floor; park outside; give access to power and water]

6. Payment

Check your state first: some states limit deposits on home improvement contracts. California, for example, caps the down payment at $1,000 or 10% of the contract price, whichever is less.
  • Deposit due at signing: [$ ]
  • Balance due: [on completion / at the final walkthrough]
  • Payment methods: [ ]

7. Warranty

[Workmanship warranty: __ years from completion, on the attached terms.] The coating products carry their manufacturer's own warranty, if any, which is separate.

8. Not included

[Moving stored items and appliances; moisture mitigation unless listed in section 4; repairs beyond those listed; painting walls or baseboards; work on areas not listed in section 1.] The attached scope of work has the full detail.

9. Right to cancel

Ask a local attorney: the federal Cooling-Off Rule lets buyers cancel many sales of $25 or more made at their home until midnight of the third business day, and requires a written notice of cancellation. States can add their own rules.

[If you sign this estimate at your home and federal or state law gives you a right to cancel, the required notice of cancellation is attached.]

How to use the estimate template

  1. Measure the floor and test it before you write the price; a quote written from the driveway is a guess.
  2. Work out materials with the coverage and flake calculators, then the price with the pricing calculator.
  3. Attach the scope of work and the warranty terms, so the estimate, the work and the promise all match.
  4. Have a local attorney review the payment, cancellation and warranty wording once, then reuse it.

Quoting is the third of the Seven Systems; epoxy flooring contracts covers the terms in more depth.

Questions

Contractor quotes: frequently asked questions

What should an epoxy flooring estimate include?

The measured area, the system with its products and thicknesses, the prep and repairs, a line-item price, the deposit and payment terms, the schedule and cure times, what is not included, the warranty and a place to sign. Writing the system down in detail is what lets a customer compare your quote with a cheaper one fairly.

Is this a free contractor quote template?

Yes. The whole template is on this page; print it or save it as a PDF from your browser, or leave your number and we will text you an editable copy. It is built for epoxy and concrete-coating jobs, but the layout works for most flooring quotes.

How long should a quote be valid?

Long enough for the customer to decide and short enough that your material prices still hold, such as 30 days. Whatever you choose, print the expiry date on the quote.

How much deposit can I ask for?

It depends on your state. Some states cap deposits on home improvement contracts: California’s cap is $1,000 or 10% of the contract price, whichever is less. Check your state’s contractor board or attorney general before you set yours.

Do I need to give the customer a right to cancel?

Often, yes, when you sign the job at the customer’s home. The federal Cooling-Off Rule gives buyers until midnight of the third business day to cancel many sales of $25 or more made at their home and requires a written notice; some states add their own rules. Ask a local attorney which notice your quotes need.
